Before I show you my collection of really good web tools that will definitely assist you to work remotely, I must make you aware of one more item connected with self discipline and specifically to do with keeping your focus and powers of concentration

I’ve spotted and verified a common habit in individuals who work on the Internet and I’ve known for over a long time line and I call this behavior the fifty minute rule. I observed these members of both sexes who concentrate and work for fifty mins. and then take a whole 10 minute rest and are a significant order of magnitude more effective and generate a considerably higher quality of work than friends who don’t have well organised working practises.

Google Mail is free. In my experience the search & label (categories) functions have no equal. So far the only gripe I have is that it runs a bit slow on not so new PC’s

Phone calls

Skype
used to infuriate me as the service performance was unacceptable, but hats off for the designers at Skype now as they have substantially changed the quality of the service. For meagre amount of money a quarter ! am able to call and conference in any phone and Skype user on the planet. The current edition of Skype has a wealth of very practical features and there are now plenty of of useful add on applications.

You probably know that my dream to work remotely was originally motivated by Quickbooks Online, a small business accounting software web application. But it is easily beaten hands down by the free edition of salesorder.com – a lead to cash system that’s as easy to use as a hairbrush I looked at NetSuite whose pricing (and people) scared me off. I am repeatedly surprised by the thousands of professionals who are currently focusing on the web to earn an income. I own a series of different web based concerns which in their entirety pay me much more cash than I was able to earn by taking conventional employment. I still ‘work’ the same number of hours but I do not have go to an office any more, which is an added bonus. Financially I am better off and my quality of life has improved beyond my wildest dreams.

Building a number of companies is fulfilling, but I have had to find better methods of being more productive and working smarter. To look after people who buy what I have to sell and the income and expenses of my companies, I use a selection of tools – you have got to have excellent small business management software to to save you time and let you focus finding and servicing customers. I have a Quickbooks login and a NetSuite login. I can get to these useful tools from wherever I might be and they allow me to see all of the customer and financial events in real time.

Through my NetSuite login I am able to track all of the throughput on my internet stores and track the returns of the Google Adwords campaigns that link traffic to my checkouts. I have stopped using Microsoft Office which substituted with a Google Account containing all of the systems I must have, including e-mail, word processing and spreadsheets. I can get at these applications from from my laptop.

In terms of improving myself and broadening my skill set, I have discovered a treasure trove of free and low cost knowledge which I have readily studied. One of the most significant lessons I have learned is how to identify and farm out dreary operations, to companies who can do this faster and at a lower cost. I can precisely attribute the time at which I overcame my earnings ceiling to my discovery of the gains of contracting out some of the projects absorbing most of my time, to me increasing my cashflow to above that of my income whilst in permanent employment.

Remote Working Part 2 – Managing yourself

The most cited reason workers fail to adjust to working remotely is they don’t realise the need for good organisation and sustainable self discipline.

I have been working remotely for nearly 8 yrs since I first unearthed Quickbooks online an ‘on demand’ small business accounting software service and was motivated by the fact that if you can perform accounting on the web then why shouldn’t it be practical to perform other important types of work remotely?

Whilst working remotely has significant advantages there are numerous mistakes that people make which evolve into problems that cause lower productivity and lower motivation. The number one reason for decreases in productivity in remote workers is interruption and it is a verified and well publicised fact that it can take a professional up to 0.33 hours to return to their original efficiency level after experiencing a disturbance.

Studies also show that persons who are continuously affected by disruptions are more likely to be susceptible to reduced memory capacity and are prone to developing mental health trouble in old age. We exist in an over communicated era and it is important that you know the issues this causes before you commence working remotely. Whilst operating remotely you must do everything feasible to minimise the probability of being disturbed.

Here are the essentials:

1, Get a routine, tell everyone about it and rigidly adhere to it!

Good examples are a specific time of day when you read or send electronic mail and make or receive phone calls. Before I began working remotely I used to get nearly a couple of hundred e-mails in 24 hours. Now I think I am unfortunate if I get greater than 4. To start over with my electronic mail experience I modified my e-mail address and obsessively took steps to look after the details being made available to anyone. I then made sure every individual who I gave my e-mail address to, to use it with special care. I also configured an auto-responder that swiftly told anyone sending me mail at what time of day I would be reading mail and if someone must have my urgent awareness to mark it as ‘Urgent’.

2. Get rid of alerts.

Disable every possible mechanism that can send you a perceptible alert. This includes portable and
conventional telephones and forms of alerts from electronic mail such as on screen pop ups, warning sounds, display changes to your inbox folder and of course facing a window. Get a door on your office and put up a ‘do not disturb’ sign on it.

When the economy goes for the unusual nose dive, every sector even the employed are affected. Some of those workers come from the factory line, others from behind a desk. What they all have in common, however, is that they must look for other employment in a tough job market. After all, their company probably wasn’t the only one laying off workers.

Any job will be fine from workers whose eight-hour day keeps them from standing up, even if they may have never worked an hour a day on their feet.

People have worked in air conditioning in the summer and in heated cubicles in the winter. If these type of workers lost their jobs, imagine what it must be like if the only job they are used to get changed to a waiter job. I personally don’t see the stretch putting on an apron, and start taking orders, rather than take calls, create spreadsheets, and have meetings, than going between the tables, the kitchen, and the bar. Sometimes risking someone grabbing at your backend and not owning up when you confront them,

Job search or not but remember, we have to thread with care when we go looking for jobs because though some are categorised, under normal jobs, they require special skills. Those wh pay heed and  do it well can make a good living, and those that do it poorly can expect sub par tips and less money than they expected. Either way, a waiter or waitress is a good option for someone who can’t find office work when that’s all they’ve known in their career.

There are some jobs which more that just jobs. serving in a restaurant as a waiter is one of them.If you have ever lived in France you will agree with me. “I’m an office manager,” they might say. That’s all well and good, but if you’ve been laid off and the unemployment money is about to run out, you only have a couple of options. Hope you get lucky and find another office job before you’re off unemployment; dip into your savings to buy yourself some more time or swallow your pride and find a job where the attire isn’t business casual but work aprons. It is not a bad idea to be hopeful when you have decided to readjust and accommodate most any options out there that may be thrown at you. And if nothing else in the job market is not clicking,fall back on the fundamental objective: any job at all will help provide for your family in these days of bad economy.

Obviously not everyone is allowed to work remotely as many types of employment require people to go to their employers premises or travel to perform their work face to face. But for those of us given the opportunity to work remotely then I thought it would be useful to share my experiences and offer some practical guidance by writing and publishing it on the net in the hope that I could give others useful advice for adapting to remote working or managing remote workers.

I would caution you that there are many people online who will try and get you to buy guides for preposterous sums of money, trust me you don’t have to do this.

I am blessed to be permitted to work wherever I choose and just about everybody who asks me what job I do wants to learn how I manage to work remotely. Don’t get me wrong here I am still perfecting the science of remote working as each day I encounter persons on the net who teach me new approaches and I am constantly coming across new packages and ways that make my life simpler and make me more effective.

In the past 7 years I have immensely adapted my working methods to let me to do most of my work remotely with a box of internet tools and solid self discipline. One lunchtime whilst surfing the net I discovered Quickbooks online and this brought to my attention what just might be possible. The encounter with web based ‘on demand’ small business accounting software was a special moment for me and the launch pad of my ‘remote working journey’.

Risks and Rewards of Employee Satisfaction Questionnaires

Although there are distinct advantages to conducting regular employee satisfaction surveys online to measuring employee satisfaction – there can also be risks.

Documented here are the main advantages, considerations and the possible risks to conducting employee satisfaction surveys online.

 

Advantages

Identify Problems – Surveys are can be very effective in identify problems areas before they become serious, especially those that are hidden from senior management.

Working Environment – From something small like a broken chair to the more serious problem of sick building syndrome that can result in personnel experiencing headaches; eye, nose, and throat irritation; a dry cough; dry or itchy skin; dizziness and nausea; and difficulty in concentrating. Surveys allow environmental problems to be identified in a measured and controlled manner.

Remuneration & Benefits – Measure and monitor how satisfied personnel are with their remuneration and benefits.

Mood and Moral – Provides a simple but effective method to measure and monitor the mood and moral of an organization.

Benchmark – In the same way that an organization will consider their financial position by comparison with previous years, so the regular use of online surveys will allow an organization to monitor and measure their progress and development in non-financial terms.

Processes & Procedures – As businesses evolve some of the traditional processes and procedures can become antiquated, personnel are often the first to know and the last to be asked. Businesses evolve and the business processes need to be regularly re-aligned.

Training – Lack of proper training is a common cause of dissatisfaction among employees and can lead to more serious problems such as stress.

Communication – For an organization to run efficiently good internal and external communications are essential, surveys can provide a method to help organizations to monitor and measure how well an organization communicates.

Goals and Objectives – Surveys can measure and monitor the extent that the personnel are aligned with the senior management’s business goals and objectives.

Cost Effective – Using survey questionnaire software surveys are quick and easy to create, simple to deploy and will provide real-time results.

Compliance – To properly comply with an ever increasing array of regulations the modern organization needs to be able to disseminate information throughout the organization and ensure, through records, that the information has been received, and importantly, understood. Online questionnaires can offer an organization a cost effective method to meet many of their obligations.

Keeping the Initiative – It is always better for management to ask than be told. By conducting periodic employee satisfaction surveys the management is able to retain the initiative in trying to identify problems that could otherwise metamorphose into demands.

 

Considerations

Management Backing – A survey that is both sanctioned and has the support of senior management will go some way in ensuring that any action required, based on the survey findings, will be implemented.

Ask the right questions – Consider careful the questions being asked. If the survey is perceived by employees of just trying to tick the right boxes the survey could result in more negative attitudes.

A survey that is to be conducted annually should try and ask questions that will provide senior management with an overall health check of the organization.

Only ask questions that will apply to all departments and personnel. Consider running separate one-off surveys that can be targeted at specific personnel if some areas of the organization require detailed investigation.

Incentive – Most employees will feel that by being able to give their opinions that they are already stakeholders in the exercise and will be happy to participate in the survey as they will expect to benefit from the process.

However, some incentive may help improve the overall response rate or could be used to encourage early participation.

Smaller incentives could be handed out to all employees or all participating employees could be entered into a lottery to receive a more substantial prize.

Anonymous – The decision to allow respondents to remain anonymous or not needs careful consideration. A survey that is conducted anonymously may allow employees to be more candid, however, anonymity may encourage some individuals to make wild accusations that can not be substantiated and cause considerable concern. It is often better to keep everything ‘on the record’ rather than ‘off the record’.

Where survey respondents are known there is the opportunity to chase for surveys that have not been completed and also to follow up on some issues directly with those employees who have raised them as problems.

Comments – Keep free text comments to a minimum because they are difficult and time consuming to measure and analyze.

Limit the number of questions that allow for free text responses, usually one that asks for general comments at the end of the survey is sufficient and effective; where surveys are not anonymous, consider conducting further surveys to follow-up where the earlier survey identifies areas where additional and more specific information is required.

 

Risks

Management – Some managers can regard any form of employee consultation as a sign of weakness and may have a tendency to dismiss out of hand any negative comment.

Warts and All – A survey is likely to reveal warts and all. Senior management may need to prepare themselves for the revelation that the top down view may differ considerably from the bottom up view and that once problems had been identified they will not be able to claim ignorance as an excuse to why they are not resolved.

Non-Action – Many employees will invest time and effort in participating in a survey and their hopes and expectations will be raised. If post-survey nothing is done to address the issues that have been raised by the survey then it is likely to result in employees developing a cynical attitude and make them less likely to want to participate in any future initiatives to obtain employee feedback.

Management should formally respond to the issues raised in surveys even if the demands of employees are not to be met. If the senior management team have previously advised the employees that some of the issues raised in previous surveys are to be addressed and resolved then that action should have at least started before any follow up surveys are conducted.

Can Cause Problems – Where surveys reveal, or bring problems, to the surface there could be a tendency for senior management to blame the messenger.

 

Summary

There are considerable benefits in conducting regular online employee satisfaction questionnaires, but for them to be effective important considerations need to be made upfront. Although the process of conducting a survey can be therapeutic in itself it is the post-survey analysis, response and action that will ultimately determine how useful and effective the process has been.

Creating Employee Satisfaction

I am not happy. The printer has still not been fixed and now my chair is broken. The company is falling apart. The boss really doesn’t seem to have a clue as to what is really going on.

A young lad started last Tuesday, no one bothered to introduce him to me and they gave him a job that he had no idea how to do; why didn’t they just ask me? I could have told them that a new set of drawings had been issued so even if he did know what he was doing the drawings he was using were obsolete anyway. Sometimes I don’t know why I bother turning up.

I went for a drink with some of the guys last night after work. I don’t know anyone who is happy and the lady in the Accounts department has told me that she has just about had enough and is going to ask for an immediate pay rise and if she doesn’t get it she will be off.

The management here just don’t have a clue, we are losing money through our inefficiencies and every time they come up with a new initiative they are so far off the mark that it just demonstrates how out of touch they really are.

I think I’ll ask for a pay rise, if Sally from Accounts can get one I can.

And on it goes.

These are the sort of thoughts that start to go through the minds of individuals when an organization loses touch with their personnel; the chair that is broken, no feeling of appreciation, blaming ‘management’ and for some even questioning the futility of what they are doing. Small problems rankle and a disparaging and destructive attitude develops. Can you be sure that this isn’t the sort of thing that is going on right now in your organisation?

Social events outside the office become nothing more than a forum for complaints and negativity grows among people who feel powerless to effect change. Diverse frustration will often amalgamate into a demand for an increase in remuneration, as though like a cheap fix more money will briefly reduce the pain.

Left by management, undiscovered and unaware, the concerns of this employee will inevitable find solace with their colleagues own individual concerns, where the only common demand will be for an increase in remuneration, more paid holidays and a reduction in working hours, all of which will not fix the broken chair, ensure that new personnel are in future properly introduced, trained and managed nor help management identify areas of inefficiency.

Organisations have a habit of pigeon holing people, physically through offices, cubicles or workstations and also in terms of responsibility. It can prove productive if there is effective and strong management in place to support this structure, but over time weak or inappropriate management can infiltrates the management chain and if it does it can be expected that cracks will start to appear.

From the top down all can appear rosy in the corporate garden as the weak and inappropriate manager reports that all is well in the engine room, oblivious to the fact that their coal stocks might be dwindling.

A very skewed view can be the result of relying on a limited number of indicators, just as a one eyed person finds judging distance difficult. By establishing procedures that sample the mood from different perspectives throughout the organisation good management will be able to form a rounded picture.

The benefits of establishing good, frequent and extensive communication channels are both direct and indirect.

Greater respect will be given to a senior management team that is known to have their ear to the ground and where they keep the middle management honest by knowing that middle managers can no longer shrug away the senior manager’s searching inquiry “How is everything going?” question with a glib “Fine”; In my book if someone says “fine” you have to ask if they really know what is going on.

Most principals of organisation will not have the luxury of spending time walking the floor and discussing the issues of individuals but through online employee surveys they can achieve the same benefits.

Online surveys are the perfect mechanism for establishing effective communications between the employer and employee. Using a survey hosting service they can now be created and published with speed and ease.

Using the Internet and intranet surveys can be deployed in seconds, easily completed by employees and results can be displayed in real time allowing ‘problems’ and common themes of dissatisfaction to be identified early.

Online employee satisfaction surveys have the ability to get to the heart of an organisation, confirm not only that the engine room is working but that there is sufficient coal in the bunker.

Online surveys provide many benefits, not only do they help identified concerns, but the employees voices are heard and their views, right or wrong, have a forum.

Online surveys will not in themselves resolve a problem but what they will do is give senior management the opportunity to address the problems and concerns of their employees, if people then leave the organisation they will at least hopefully be doing it for the right and not wrong reasons.

The grass will always appear greener on the other side but the underlying reasons for good people leaving an organisation are rarely purely monetary (although it is often cited as the reason) and more often to do with one or more of the following:-

  • the workplace environment;
  • a lack of fulfilment;
  • limited training and feedback;
  • lack of career growth;
  • over worked;
  • lack of trust and respect with their senior managers.

Good communication between the employer and employee can help identify the individual and common concerns of the employees and will give the senior management team the opportunity to address root problems and not just the symptoms of employee dissatisfaction, enabling them to demonstrate to their employees that they are valued as an important resource.

Employee surveys need to be customised so they are relevant for each individual organisation. I invite you to put yourself in the place of an employee and complete the short sample employee satisfaction survey, then view the results of the satisfaction survey and just think of the benefits to management being able to measure so easily the heart beat of the organization.

Making a tutorial in simple to use internet formats is now straight forward and doesn’t cost much to do. You just have to be prepared to dedicate a small amount of time playing with the packages. The objective here is to create [content.

You should start by deciding what you want to achieve. Consultancy and Information marketing compliment each other and if you do both can be very provide a substantial income as the consultancy will provide you with the questions, the answers to which you can repackage and sell in digital format and sold over and over again.

If you are starting from scratch with no customers but have expertise you know would be useful to others then plan to create a very short video to explain yourself and your expertise to your market. Unless you know the market exact problem then make the video generic and usethe following format – S.T.A.R (Situation or Task, Action, Result). Be creative and concise. Now upload the video to your website/blog or even YouTube if you don’t have the former and send the target(s) an invitation by e-mail containing a personal message and a link to the video. Follow this up with a phone call. If you know the specific nature of the marketproblem then don’t make the video public, just put it somewhere privateon the Web or even on a disk and post it, again follow up with a call.

This method is ideally suited to situations where you are individually targeting potential client(s). You should always focus on growing a list you can interact with and make sales to. Treat the people on your list well and they will tell you their needs to which you can match and your content products. The more people on your list the more consulting and information marketing opportunities you will find.
